A reputable International Service Company having its regional headquarter for Asia pacific in Kuala Lumpur, involving in Exploration, Commissioning, Training, Operation & Maintenance, Shutdown & Turnarounds for the upstream and downstream sectors of the Oil & Gas and Petrochemical Industries invites experienced candidates to fill the following position :

 

 

PROJECT SECRETARY (Jakarta based)

 

PRINCIPAL ACCOUNTABILITIES

  • To set up and maintain an effective technical database and filing system for all technical data and documents and to ensure immediate access of all required information
  • To set up and maintain an effective project filing system for all project data and documents and to ensure immediate access of all required information
  • To execute all secretarial duties in a very accurate and timely manner (Placing phone calls, typing letters and faxes, preparation of tenders, dispatching of mail, filing, etc.).
  • To ensure technical and commercial proposals are complete, spell-checked and impeccably presented before dispatched
  • To dispatch in time all proposal documents and to ensure reception at Client's office
  • To ensure a copy of the dispatched proposal is made and is filed in the proposal archive

MAJOR TASKS

  • Assists Proposal Manager (or his nominated deputy) in his daily tasks
  • Keeps informed of all on-going projects to provide effective assistance to the Project Manager and Project Managers as and when required.
  • Relays information to the relevant Managers, coordinates actions when required.
  • Updates and maintains the technical database.
  • Maintains an effective filing system of all project and technical documents.

·         Assists in the preparation of tender documents.

·         Executes all necessary typing, copying, scanning of documents and other secretarial work related to the Project Department.

·         To stand in for the receptionist / operations secretary when required

JOB REQUIREMENTS

·  5 year's experienced in secretarial duties

·  Computer skills (Office, Visio, Access, etc.)

·  Fast and accurate typing abilities

·  Fluent in English (written and spoken)

·  Good sense of organization

·  Communications skills
